Office Administrator – Law Firm – £25-30k Belfast (Hybrid)

Our client is a leading law firm with over 25 years’ experience in the field of construction law and procurement law. They have offices in Belfast, Dublin, Maidstone, and London.

They are looking for an Office Administrator to play a vital role in the day-to-day administration of a busy law firm. The role will be based in their head office in Belfast on a hybrid basis, is a permanent position in the firm and has the potential to be either a part-time or full-time position.

Job responsibilities:

  • Co-ordinate and schedule a busy diary.
  • Proof reading and issuing of letters and documents.
  • Draft correspondence, documentation, notes, reports, forms, minutes, spreadsheets, slides etc.
  • Handling incoming calls and emails, redirecting them as necessary.
  • Electronic file management, ensuring filing is up to date and correct, and that information is easily accessible.
  • Organise travel and accommodation.
  • Accurate review, preparation and issuing of monthly invoices.
  • Liaising with Managers on invoice queries.

Essential Criteria

  • 2+ years’ experience gained in an administrative or office environment.
  • Must be highly proficient in the use of Microsoft Office (Word, Excel, Outlook and PowerPoint)
  • Ability to organise, plan and prioritise varied tasks within a high volume, whilst maintaining a high level of accuracy in all work undertaken
  • Attention to detail is crucial to ensure accuracy in written correspondence.
  • Good communication and interpersonal skills.
  • High level of integrity and ethical conduct.
  • Ability to work remotely and unsupervised as part of a team.
  • Ability to learn the invoicing system.

Desirable Criteria

  • It would be desirable but not essential to have invoicing experience as training will be provided.
  • Knowledge of Microsoft Dynamics CRM.

  • Strong organisational and administrative skills with the ability to meet deadlines.
  • An approachable manner with the ability to communicate and interact with senior staff.
